ClickUp’s pitch is maximalist: tasks, docs, goals, whiteboards, time tracking, dashboards, chat, AI — one app to replace them all. For a studio principal tired of tool sprawl, that’s exactly the promise you want to hear.

The lived experience is different. Every feature exists; almost none of them are shaped like design practice. So the studio spends weeks configuring spaces, folders, lists, custom fields, and statuses to approximate phases and specs — and then keeps the spec spreadsheet anyway, because a task with twelve custom fields still isn’t a product record, and a doc still isn’t an issued schedule. Feature count is not fit.

More features, same gap

• Configuration is the product. ClickUp’s flexibility means the systems design work lands on you — the same burden as a blank database, wearing a busier interface.

• The core object is still a task. Products, phases, fees, clients, RFIs are all tasks with fields. Relationships between them are bolt-ons, not the model.

• Client access is guest seats. No branded portal, no scoped selections-and-approvals surface, no presentations on your domain.
