our system vs. Notion

Notion Alternative for Architects & Interior Designers: A Beautiful Wiki Is Not an Operating System

Design studios love Notion, and it’s easy to see why. It’s elegant, it’s flexible, and it lets you write your process down — standards, checklists, templates, onboarding — in a place that finally looks as considered as your work. As a studio wiki, it’s excellent.

The problem starts when the wiki tries to become the operating system. Notion databases are pleasant, but they’re databases inside documents: light on relational integrity, weak on permissions, slow at scale, without real automation, PDF generation, or client-safe surfaces. Studios end up with a stunning handbook and a project tracker that stops being trusted over time.

Documents-with-databases vs. a system

  • Relations are decorative. Notion can link records, but rollups get slow, integrity is optional, and modeling Projects → Phases → Rooms → Specs → Products → Suppliers becomes a maze of linked pages nobody maintains.

  • Permissions are page-shaped. Field-level control, client-scoped views, consultant access — hard or impossible. Sharing means exposing more than intended or duplicating content.

  • Automation is thin. Notes don’t become tasks with owners; spec status doesn’t update a schedule; nothing generates a transmittal.

  • Documents live inside Notion. Issued schedules, proposals, and PDFs in your titleblock aren’t a Notion strength — export and reformat, again.

  • Everything is a page. Great for writing, poor for the structured records a studio issues, tracks, and bills against.

Beautiful documentation

Keep the wiki. Run the studio elsewhere.

Notion can stay exactly where it shines: standards, process documentation, the studio handbook. Househouse Systems — founded by architects — builds the operational layer beside it: a relational system for projects, phases, and fees; spec and material libraries; FF&E schedules and budgets; client portals and presentations on your domain; CA logs; automated documents; task and note automation; Revit connections; and AI workflows on clean data.

Built for you, maintained by us, owned by you.

FAQ

Do we have to leave Notion? No — keep it as the wiki. The operational data moves into a proper system; the two link where useful.

We built a lot in Notion databases. Is it wasted? It’s a map of what you need. We migrate the data and rebuild the structure relationally, so the thinking carries over.

Why not just add Notion automations and templates? Because the ceiling is structural — permissions, integrity, documents, and scale — not a missing feature.

Can the new system look as good? Portals and presentations are designed to your brand — studios that care about aesthetics are our whole client base.
